Shopify Automation Services
Automate order routing, low-stock alerts, support sorting, cart recovery and accounting sync. We use Shopify Flow and Klaviyo first, and add n8n or Make only where needed.
Shopify automation that starts with what Flow and Klaviyo already do
Shopify automation means making routine store work happen without anyone doing it by hand: routing orders, warning you before stock runs out, sorting support emails, chasing abandoned carts and passing data to accounting or a warehouse. We start with what Shopify Flow and Klaviyo already do well, because they are cheap to run and need no extra hosting, then add n8n or Make only for jobs they cannot do, such as talking to a supplier system or using an AI step to classify support requests. Every workflow is tested on real orders and documented, so you keep control of it.
Everything you need, nothing you don't.
Order routing rules that send each order to the right warehouse, 3PL, supplier or dropship partner by product tag, destination, shipping method or value, and flag unusual or high-risk orders for a person to check.
Inventory alerts and reorder triggers: low-stock and out-of-stock notices to Slack or email, a reorder sheet or supplier email, and a check for products selling below zero stock.
Support triage: incoming emails or form messages are classified as order status, return, product question or complaint, matched to the customer's Shopify order, and routed or drafted for a person to approve.
Abandoned cart and checkout recovery by email, and by WhatsApp where the customer has opted in, with sensible timing, an automatic stop once they buy, and a cap so nobody is chased repeatedly.
Back-office sync of orders, refunds and payouts to QuickBooks, Xero or a spreadsheet, customers and tags to your CRM, and tracking numbers from the carrier back to Shopify.
Setup and documentation of Flow and Klaviyo workflows where they are enough, so you are not paying for a more complex tool than the job needs.
Webhook and API plumbing done properly: signature checks, handlers that ignore duplicates, and a scheduled reconciliation job that catches anything a webhook missed.
Error alerts and a short runbook listing every automation, its trigger, its owner and how to switch it off, with failed runs reported to a named person.
Our Process
We map the tasks your team repeats each week and sort them by effort and risk. Each one is matched to the simplest tool that can do it: Flow, Klaviyo, a Shopify app, or a custom workflow. Custom workflows are built in n8n or Make against a development store or test orders, with approval steps wherever an error would cost money, such as refunds and supplier orders. We go live one automation at a time, watch the first runs with you, and hand over the runbook. Scope is agreed on a free call.
Technologies We Work With
Shopify Flow, the Shopify Admin GraphQL API and webhooks, and Klaviyo for email and SMS flows. n8n or Make for multi-system workflows. Claude or OpenAI APIs for classifying and drafting support replies. The WhatsApp Business Platform for opted-in messages. Slack, Google Sheets, QuickBooks, Xero and helpdesk tools as the other ends of each workflow.
What should you automate with Shopify's own tools first?
Often the cheapest answer is already in your admin. Shopify's Messaging app can send abandoned checkout emails natively: a checkout counts as abandoned after more than ten minutes without completion once the customer has entered an email address, and you set how long to wait before the email goes out. Shopify Flow, a free app, watches events and runs actions on them. Between these two, a surprising amount of store admin needs no extra software at all.
We begin there. If a workflow fits inside Flow or Klaviyo, we build it there and document it. You only add n8n or Make when a job really needs them.
Which tool should handle which job?
| Job | Shopify Flow | Klaviyo | n8n or Make |
|---|---|---|---|
| Tag or hold an order after it is placed | Built for this | Not its job | Possible, but unnecessary |
| Low-stock or out-of-stock alert | Yes, with inventory triggers and an internal email action | Aimed at shoppers rather than staff alerts | For reorder emails to a supplier, sheets or Slack routing |
| Abandoned cart email or SMS | Not built for customer-facing campaigns | Strong: flows built on checkout events | Only for odd channels such as WhatsApp |
| Send an order to a supplier or 3PL API | Possible through an HTTP request on higher plans, with a 30-second response window | Webhook action can post JSON, but only for flow triggers | Best fit, with retries, mapping and error alerts |
| Classify and answer support emails with AI | Not designed for it | No | Yes, with an approval step |
| Sync orders to accounting | Limited | No | Yes |
Where do Flow and Klaviyo stop?
Shopify Flow
- The Send HTTP request action needs the Grow, Advanced or Plus plan. Flow waits up to 30 seconds for a response, then closes the connection and retries later.
- Custom tasks from partner apps work only for Plus stores.
- Flow is built around store events. For long processes that span several outside systems, a dedicated workflow tool is usually easier to monitor and debug.
Klaviyo
- Its flow webhook action sends POST requests with JSON, and only for events that can trigger a flow, so it cannot report what the customer does afterwards.
- Using webhooks requires two-step authentication and a Manager, Admin or Owner role, and Klaviyo support does not troubleshoot your receiving system.
Facts above were last verified in November 2026 on Shopify's Send HTTP request page and Klaviyo's webhook action documentation. Plans and limits change.
How do webhooks and the Admin API fit in?
A webhook is Shopify telling another system that something happened, for example an order was created. The Admin API is how that system asks Shopify questions or makes changes. A few habits keep this reliable:
- Verify each delivery. Shopify signs webhooks with an HMAC header, and our handlers check it before acting.
- Expect duplicates and disorder. Shopify supplies a webhook ID so repeats can be ignored, and does not guarantee delivery order.
- Reconcile. Shopify's documentation says webhook delivery isn't always guaranteed, so we also run a scheduled query for recently updated records and fill any gaps.
- Respect API limits. The GraphQL Admin API limits calls by query cost, so we ask only for the fields a workflow needs and use bulk operations for large jobs.
- Ask for minimal access. Each integration gets only the scopes it needs.
The webhook documentation covers these points in more detail.
Four example automations (illustrative)
Route by destination
New order, check the shipping country and product tag, send it to the matching fulfilment partner's API, write the partner's reference back to the order, and message the team if the partner rejects it.
Low stock to purchase draft
Variant quantity drops below your threshold, a row is added to a reorder sheet with the supplier, and a draft email waits for someone to approve it.
Triage the support inbox
An email arrives, an AI step labels it, the workflow fetches the customer's latest order, and the draft reply sits in your helpdesk for a person to approve. Returns requests go to a separate queue.
Cart recovery, split by consent
Customers with email consent get the email flow. Customers who also opted in on WhatsApp get one approved template message, and the workflow stops the moment an order is placed.
How do we test an automation before it touches real orders?
Every workflow is first run against test orders in a development store or with test data. We check the unhappy paths as well: an out-of-stock item, a refund after a shipment, a partial fulfilment, an address the courier rejects, and a webhook that arrives twice. Anything that spends money or messages a customer gets an approval step at the start, which we remove only when you are happy with how it behaves. After launch we watch the first runs together, then rely on error alerts to a named person rather than hoping nothing breaks.
What do we need from you?
- Staff access to the store admin, with the permissions each integration needs.
- A walk-through of how an order really moves through your business, including the workarounds.
- Access to the other systems involved, such as your helpdesk, accounting software or fulfilment partner's API documentation.
Is custom automation worth it for your store?
Not always. If you take a few orders a day and Flow plus a ready-made app covers it, stay there. Custom work pays for itself when staff re-type data between systems, when mistakes cost you refunds, or when a process has exceptions that apps handle badly. If the real problem is a slow or confusing storefront, our Shopify speed optimization work will do more for you than automation. For new theme or app work, see Shopify development, and for how we build the workflows themselves, our n8n workflow automation service. How pricing works
We quote every project individually, because the price depends on scope: how many pages, systems or integrations are involved, how much is built from scratch, and how fast you need it. Small, well-defined jobs cost far less than custom builds. Tell us what you need, or use the quote request guide, and we will reply with a written quotation.
Frequently Asked Questions
What can Shopify Flow automate, and when do I need something else?
Flow reacts to store events such as a new order or a product going out of stock, checks conditions and runs actions like tagging, holding fulfilment or emailing your team. You need something else for multi-step work across outside systems, AI steps, or waits and branching beyond what Flow offers. Flow can call outside services, but only on some plans.
Do I need Shopify Plus to automate my store?
No. Per Shopify's help centre, Flow is a free app available to merchants on any paid plan, and the Send HTTP request action is limited to the Grow, Advanced and Plus plans. Tasks created by custom partner apps require Plus. Outside Flow, n8n and Make work through Shopify's API and webhooks, so they do not depend on Flow's plan limits.
Should I use Shopify Flow, Klaviyo or n8n?
Use Flow for store operations, Klaviyo for customer messaging driven by shopping behaviour, and n8n or Make when a workflow must reach other systems or use AI. They combine well: Klaviyo can send a webhook to n8n, and Flow can post to an n8n webhook. We pick the cheapest tool that does the job.
Can you send abandoned cart reminders on WhatsApp?
Yes, through Meta's official WhatsApp Business Platform. The customer must have opted in to WhatsApp messages, and a reminder sent after the 24-hour window must use an approved template, which Meta charges for per delivered message. Email recovery is simpler, and Shopify can send abandoned checkout emails natively, so we compare options with you first.
Is it safe to give an automation access to my Shopify store?
It is safe when access is limited. Shopify apps request specific access scopes, and Shopify advises requesting only the data access needed. We ask for the narrowest scopes each workflow requires, keep credentials in the workflow tool rather than in screenshots or chats, and can remove access as soon as the work ends.
How much does Shopify automation cost?
We scope it per project on a free call, because it depends on how many systems are connected and how many exceptions your orders have. Running costs are separate: Flow is free to install, while Klaviyo, n8n, Make and any AI usage are billed by those vendors. Check their pricing pages for current plans.
