An AI receptionist for small business that books, logs and hands off

An AI receptionist for a small business is software that answers calls and messages, handles the routine part of each conversation and passes anything difficult to a person. Ours is built around your own process: a voice agent on Retell AI or Vapi for the phone, plus web chat or WhatsApp if you want them, connected to your calendar and CRM. It can check availability and book a slot, collect a caller's details, answer common questions from information you supply, and transfer the call to a named human when the situation needs one. We also tell you plainly when a ready-made receptionist service is the cheaper and better choice for your call volume.

What's Included

Everything you need, nothing you don't.

01

A call flow written from your real calls: the questions people ask, the details you need from them, and the exact point where the agent stops and a person takes over, all agreed with you in plain English before anything goes live.

02

A voice agent on Retell AI or Vapi attached to a phone number, with an opening line that says it is an automated assistant and, where your rules call for it, that the call may be recorded.

03

Calendar booking: the agent reads your real availability and writes confirmed appointments to Google Calendar, Microsoft 365 or a booking tool, following your rules for opening hours, buffer time and what may be booked by phone.

04

CRM and alert wiring: every call produces a contact record, a short summary and the transcript, sent to your CRM, inbox or Slack, with unresolved or missed calls flagged for a person to follow up.

05

Human handoff: live transfer to a mobile or desk number during opening hours, and a message-and-callback route outside them, so an urgent caller is never left going round in circles with the agent.

06

Optional web chat and WhatsApp channels that reuse the same answers and booking rules, so a customer can message instead of ringing. WhatsApp runs only through Meta's official Business Platform.

07

A short written data note listing what is recorded, where transcripts are stored, who can read them and how long they are kept, drafted so your lawyer or data-protection contact can review it.

08

Testing with scripted and live calls before launch, then a review of real transcripts after go-live to correct wrong answers and add the cases nobody thought of.

How We Work

Our Process

We begin with a call audit: what people ring about, which calls are urgent, and what your team does with each one today. From that we draft the call flow and the handoff rules for you to approve. Next we build the agent, connect the calendar and CRM, and test with scripted calls, including awkward ones such as background noise, unusual names and callers who change their mind halfway through. We usually start narrow, for example after-hours calls only, so a mistake touches few people. Once it is live we read real transcripts together, adjust the instructions and the knowledge, and widen the hours when you are comfortable. Scope is agreed on a free call.

Under the Hood

Technologies We Work With

Retell AI or Vapi run the phone conversation, with a large-language-model API (Claude or OpenAI) behind it. The phone number comes either from the voice platform or from a provider you already use. Booking goes through Google Calendar, Microsoft 365 or Calendly. n8n or Make carry call data to your CRM, Slack and email. Web chat and WhatsApp reuse the same logic, with WhatsApp on the official Cloud API.

What does an AI receptionist do all day?

It answers when nobody else can. The caller hears a short greeting, explains why they rang, and the agent either finishes the job or passes it on. The usual jobs are booking, moving or cancelling an appointment, answering opening-hours and service questions from information you give it, taking a message with the right details, and spotting the call that needs a person immediately.

Behind it, every conversation becomes a record: who called, what they wanted, what was booked, and a transcript you can read afterwards. The same rules can sit behind web chat and WhatsApp, so a customer who messages at 10 pm gets the same availability as one who rings at 10 am.

Who it suits

  • Clinics, salons, garages and trades where the phone rings while everyone's hands are busy.
  • Firms that lose enquiries after hours or at lunch, and want those captured in the CRM rather than left on voicemail.
  • Teams whose callers ask the same dozen questions and want booking to happen on the call itself.

Ready-made service or custom build: where each one wins

A SaaS receptionist is a product you subscribe to. A custom build is software assembled for your process on a voice platform such as Retell AI or Vapi. Neither is always right.

QuestionReady-made SaaS receptionistCustom build
Time to startOften same day or same weekWeeks, because the call flow and integrations are designed first
Monthly cost shapeFlat plan or per-call, simple to predictUsage charges from the platform, phone line and model, plus any maintenance you agree

When is a SaaS receptionist the better buy?

Choose the ready-made product if most of these are true:

  • You get a modest number of calls and a plain script covers nearly all of them.
  • Your calendar or CRM is on the vendor's supported list, or you do not need one connected.
  • You want to be live this week and have no budget for a build.
  • Nobody on your side wants to review transcripts and adjust the agent now and then.

Custom starts to make sense when calls have conditions a template cannot express, when data must land in a system the product does not support, or when you want to control retention and handoff yourself. If your needs sit in the first list, we will say so on the call and save you the build.

How does one call move through the system?

  1. The call arrives on your number and is answered by the voice agent, which states that it is an automated assistant.
  2. The agent asks what the caller needs. Questions are answered from the information you supplied; it does not invent policy or prices.
  3. For a booking, it calls your calendar through an API, reads free slots, offers two or three, and confirms the choice by reading the details back.
  4. If the caller asks for a person, sounds distressed, or raises a topic on your never-handle list, the agent transfers the call or schedules a callback.
  5. When the call ends, the platform sends a webhook. A workflow in n8n or Make then creates or updates the CRM contact and posts the summary and transcript link to your inbox or Slack.
  6. Anything unresolved is flagged so a person closes the loop the same day.

Both platforms document this pattern. Retell AI describes cold and warm call transfers, and Vapi documents blind and warm transfers as well.

Call recording, consent and data: the basics

This is general information, not legal advice. Rules differ by country, and in the US by state, so have a lawyer or your data-protection contact confirm what applies to you.

  • Say what the caller is talking to. The agent opens by identifying itself as automated, and says if the call is recorded.
  • Know who must consent. Vapi's documentation notes that some jurisdictions require consent from all parties to a recording. Its enterprise tier includes a consent step that asks before recording starts; on other setups the opening line and your own flow do that job.
  • Keep less. Decide whether you need audio at all, or only transcripts and summaries. Vapi can store recordings in your own cloud bucket, and both platforms have retention settings.
  • Limit who can read it. Transcripts often contain names, phone numbers and sometimes health or money details. Give access only to people who need it.
  • Keep card numbers off the call. Send a payment link instead of taking card details by voice.

If your calls involve health, legal or financial matters, tell us on the first call. We will not promise regulatory compliance, and your own adviser has to sign off on the setup. Vapi's page on call recording and consent is a good starting read.

What an AI receptionist cannot do

  • It cannot judge a delicate situation the way a person can, such as an upset or frightened caller. Those calls should go to a human quickly.
  • It sometimes mishears names, numbers and addresses, especially on poor lines. We have it read details back and send a text confirmation.
  • It should not give medical, legal or financial advice, and we configure it to refuse.
  • It will not know something you never told it. Gaps show up in transcripts and are fixed in the knowledge.
  • It cannot guarantee more bookings. Results depend on your hours, your calendar and your calls.

Where it fits with our other work

Voice is the core of this service. If you want a deeper look at the phone side only, see our AI voice agents page. If you are still deciding between a phone agent and a website chat widget, AI voice agents vs chatbots compares them. Platform details here were checked against the Retell AI and Vapi documentation in November 2026; vendors change features and prices, so confirm on their sites before you buy.

How pricing works

We quote every project individually, because the price depends on scope: how many pages, systems or integrations are involved, how much is built from scratch, and how fast you need it. Small, well-defined jobs cost far less than custom builds. Tell us what you need, or use the quote request guide, and we will reply with a written quotation.

Frequently Asked Questions

How much does an AI receptionist cost for a small business?

It depends on call volume, integrations and how many handoff rules you need, so we scope it on a free call rather than publish a price. Costs have two parts: the build, and running charges from the voice platform, phone line and language model, which vendors bill by usage. Ready-made services usually charge a flat plan or per call. Check each vendor's current pricing page.

Can an AI receptionist book appointments directly into my calendar?

Yes, if your calendar offers an API, which Google Calendar, Microsoft 365 and Calendly do. The agent checks free slots during the call, offers times, writes the booking and can reschedule or cancel. We add rules for opening hours, buffers and services that must not be booked by phone, then test it against double bookings.

Do callers have to be told they are speaking to an AI?

We build the agent to say at the start that it is an automated assistant, and that is the safest default. Some places have specific rules on AI disclosure and on call recording, and in parts of the US all parties must agree to a recording. This is general information, not legal advice. Please confirm your obligations with a lawyer.

What happens when the AI receptionist cannot handle a call?

It hands over. During opening hours it can transfer to a named person, either straight away or after briefing them first, since both Retell AI and Vapi support transfers. Outside opening hours it takes a message, flags how urgent it sounds and queues a callback. You choose these rules before launch.

Is an AI receptionist better than a human answering service?

Not always. An AI agent answers instantly at any hour, never queues callers and costs less per call at higher volumes. A human service is better at judgement, upset callers and anything unusual. Many businesses use the agent for routine calls and a person for the rest. We will tell you honestly which fits you.

Can the AI receptionist also answer on WhatsApp and web chat?

Yes. The same knowledge, booking rules and handoff logic can serve web chat and WhatsApp as well as the phone. WhatsApp is connected only through Meta's official Business Platform, which means customer opt-in and approved templates for messages you send first.
