WhatsApp AI Chatbot & Automation
A WhatsApp chatbot that answers customers, books and updates your CRM, and hands over to your team. Built only on Meta's official Business Platform, never on workarounds.
A WhatsApp AI chatbot built on the official Business Platform
A WhatsApp AI chatbot is an automated assistant that answers customer messages on your business number, looks things up in your systems and passes the chat to a person when it should. We build it only on Meta's official WhatsApp Business Platform, the Cloud API, so customers have opted in, messages you start use approved templates, and your number does not depend on a workaround that WhatsApp can shut down. The assistant answers questions, takes bookings and order enquiries, updates your CRM through n8n and hands the chat to your team in the same thread. We do not offer unofficial WhatsApp automation, and below we explain why.
Everything you need, nothing you don't.
Official platform setup: a Meta business portfolio, a dedicated WhatsApp number, display name, webhook connection and access tokens. We guide you through it, and the accounts stay in your name.
An opt-in design for each way a customer reaches you: click-to-chat link, website form checkbox, QR code or an existing conversation, with the consent wording and timestamp stored against the contact.
Message templates written, submitted to Meta for review and categorised correctly as utility, marketing or authentication, for anything you must send outside the 24-hour window, such as booking reminders and order updates.
AI-assisted replies inside the 24-hour window, drawn from your price list, FAQs and policies, with reply buttons and lists where they help and a clear route out when the assistant does not know.
Human handoff: rules for when to stop the bot (customer asks, low confidence, complaint, high-value enquiry), assignment to a named person, a summary of the chat so far, and the bot paused while they reply.
n8n workflows that connect each chat to your CRM, calendar, spreadsheet or order system: create the lead, log the conversation, book the slot, look up an order or push a status change to the customer.
A running-cost model: your likely mix of service, utility and marketing messages priced from Meta's current rate card for the countries you serve, so the WhatsApp fees are visible before launch.
Monitoring: conversation logs, template quality status, failed-delivery alerts and a regular review of the questions the assistant could not answer, so its knowledge improves.
Our Process
We start by reading a sample of your real customer chats, emails and calls to find which questions repeat and which ones need a person. Next we agree opt-in wording and the template list, and submit templates early because Meta reviews them. We then build the assistant and the n8n workflows on a test number, run scripted and real conversations through it, and tune the handoff rules. A soft launch goes to a small group of customers first. After that we review logs, template quality and fees together before widening the audience. Scope is agreed on a free call.
Technologies We Work With
Meta's WhatsApp Business Platform (Cloud API) for sending and receiving messages. n8n, including its WhatsApp Business Cloud node for sending messages and templates and its HTTP Request node for anything the node does not cover. Claude or OpenAI APIs for understanding and drafting replies. Your CRM (HubSpot, Pipedrive, Zoho or a custom system), Google Sheets or Airtable, and Slack or email for team alerts.
Which rules does the chatbot have to follow?
Four rules from Meta shape every design decision. We build around them from day one.
- Opt-in comes first. Meta's Cloud API documentation says you must get user opt-in before sending message templates, and the opt-in should state your business name and what you will send. Its Business Messaging Policy puts responsibility for the method on you.
- A customer message opens a 24-hour window. Each new message from the customer resets the clock.
- After the window closes, only templates. Templates are pre-written, reviewed by Meta and categorised as utility, marketing or authentication. Review can take up to 24 hours.
- Some industries are restricted. The policy lists categories such as firearms, alcohol and tobacco, gambling and debt collection, among others. Check yours before we start.
What can you send inside and outside the window?
| Situation | What you can send | Fees, per Meta's pricing page |
|---|---|---|
| Customer wrote within the last 24 hours | Free-form replies, including AI-written ones, buttons and lists | Service messages: first 1,000 per number each month free, charged beyond that from 1 October 2026 |
| Window has closed | Approved templates only, to opted-in customers | Charged per delivered message by category and country |
| Customer arrived from a Click to WhatsApp ad on the mobile app | Your first reply opens a window of up to 7 days | Messages in that window are free, with exceptions Meta lists |
How does WhatsApp pricing work now?
Meta moved from conversation-based to per-message pricing on 1 July 2025. You pay when a message is delivered, not when it is sent, and what you pay depends on the message category and the recipient's country code. Volume tiers lower the rate for utility and authentication messages as monthly volume grows. Utility messages sent inside an open window used to be free; Meta's page says they are charged again from 1 October 2026. We turn all this into an estimate for your own mix of messages, using the rate card for your countries, so you can budget before launch. This was last verified in November 2026 on Meta's pricing documentation, which changes on set quarterly dates, so check it again before you commit.
Why we refuse unofficial WhatsApp automation
You will find tools that log into a normal WhatsApp account by QR code, or scrape the web client, to send automated or bulk messages. They are cheaper to start with and need no template approval. We will not build on them, for three reasons.
- WhatsApp states that its apps are not designed for bulk or automated messaging and that such use has always violated its terms. It says it uses technology and legal action against it.
- When an account is restricted, you risk losing access to the number your customers already know, and with it the channel they use to reach you.
- Unofficial tools can stop working whenever WhatsApp changes its apps, so your support channel becomes fragile.
If another supplier offers a cheaper route, ask what happens to your number when it is blocked.
An example conversation (illustrative)
- A customer taps a click-to-chat button on your product page, which also records their opt-in.
- They ask whether a size is in stock. The workflow checks your inventory and replies with the answer and two buttons: reserve it, or talk to a person.
- They choose to reserve. n8n creates a CRM deal, sets the item aside in your order system and confirms.
- Two days later, an approved utility template reminds them to collect it. If they reply, the 24-hour window reopens and the assistant carries on.
Handing over to a person
An automated assistant needs an easy exit. Meta's policy allows automation inside the window provided customers can reach a person, so we build clear escalation: a button, a keyword, or an automatic transfer when the assistant is unsure. Your team sees the whole thread and a summary in whichever inbox they use, and can reply from there. A customer should never have to repeat their problem.
Connecting chats to your systems with n8n
The assistant becomes useful when it can do things. Through n8n we write new leads to your CRM, create calendar bookings, fetch an order's status and post alerts to Slack. n8n's WhatsApp node handles messages, templates and media, and its HTTP Request node covers anything else. Our n8n workflow automation service describes how those workflows are built, tested and monitored.
What do you need before we start?
- A Meta business portfolio you control, with a person who can approve access. Verification of your business can raise your limits, and Meta's documentation does not make it mandatory.
- A phone number you can dedicate to the business account. We check with you, before you buy anything, how Meta's current rules treat a number already used on WhatsApp.
- Your real answers: price lists, delivery and returns policies, opening hours and the questions your team repeats most.
- A named person who will read handed-over chats, and the hours they are online, so the assistant can set honest expectations.
What to expect from the platform's limits
Meta applies limits that affect design. Messaging limits cap how many unique customers you can start conversations with in a rolling 24 hours, and templates have quality ratings that can lead to pausing. Sending speed is capped per number, and there is a pacing limit on messages to a single person. None of this is a problem for ordinary support traffic, but it matters for large reminder campaigns, so we plan sends in batches and watch template quality instead of discovering limits after launch.
When a WhatsApp chatbot is not the right choice
- Your customers rarely use WhatsApp. Email or web chat will serve them better.
- You want to message people who never opted in. The platform is not for that, and we will not help.
- You get a handful of messages a week. A person with the WhatsApp Business app is cheaper.
- Your business is in a category Meta restricts.
Meta's terms also bar companies from using the platform to offer a general-purpose AI assistant as their main product. A support assistant for your own business is a different thing, but Meta makes the final call, so we keep the assistant focused on your service.

How pricing works
We quote every project individually, because the price depends on scope: how many pages, systems or integrations are involved, how much is built from scratch, and how fast you need it. Small, well-defined jobs cost far less than custom builds. Tell us what you need, or use the quote request guide, and we will reply with a written quotation.
Frequently Asked Questions
How does a WhatsApp AI chatbot work?
A customer messages your business number, Meta sends the message to our webhook, and a workflow passes it to a language model along with your approved information. The reply goes back through the Cloud API within seconds. If the question is outside its scope, or the customer asks for a person, the chat is assigned to your team.
How much does it cost to run a WhatsApp chatbot?
Meta charges per delivered message, by category and country, since 1 July 2025. Customer messages to you are free. Per Meta's pricing page, each number gets 1,000 free service messages a month and, from 1 October 2026, further service messages are charged. Templates are charged by category. Check Meta's rate card; our fees are separate.
Will my WhatsApp number get banned for using a chatbot?
Using the official platform removes the main risk, which is automating a normal WhatsApp account with unofficial tools. You can still lose sending ability by breaking Meta's policies, for example by messaging people who never opted in or sending content customers report. We design opt-in and templates to reduce that risk, though no one can promise it away.
Can the chatbot message customers first?
Only in a limited way. Outside the 24-hour window after a customer's last message, you may send only an approved template, and only to people who have opted in. The chatbot can answer anything inside the window. Rates differ by template category, and Meta may pause templates that customers report.
Do you offer unofficial WhatsApp automation or bulk sending?
No. Tools that automate a normal WhatsApp account, or send bulk messages through unofficial clients, go against WhatsApp's terms, and WhatsApp says it takes action against such use. If your number is restricted, you lose customer conversations. We build on the Business Platform only, and decline projects that need anything else.
Can a person take over a chat from the chatbot?
Yes. We set the triggers: the customer asks for a person, the assistant is unsure, or the topic is on your handover list. The chat is assigned to a named team member with a short summary, the bot stops replying while they answer, and you decide whether it resumes afterwards.
