AI Receptionist for HVAC, Plumbing and Home Service Companies
A phone agent for trades that triages after-hours emergencies, books jobs, captures quote requests and hands urgent calls to your on-call tech, so calls are not lost while crews are on site.
Can an AI receptionist answer calls for an HVAC or plumbing company?
Yes. It can answer every call while your crews are under a house, on a roof or asleep, sort the call by urgency, book routine jobs into your schedule and pass emergencies to whoever is on call. It collects the address, the problem and a callback number every time, so the dispatcher starts from a written record instead of a voicemail. What it cannot do is diagnose a fault, give repair instructions or promise an arrival time you have not set. We build it as a voice agent on Retell AI or Vapi, around your service area, job types and dispatch rules, and connect it to your field-service software where that software allows.
A triage ladder written with you, ranking calls from life-safety to routine, with the exact words the agent says at each level and the point where it alerts the on-call person.
A fixed safety script, supplied or approved by you, for gas smells, carbon monoxide alarms, electrical burning and flooding near power, which tells the caller to leave and contact emergency services before anything else.
Job booking against your real availability, with rules for service area by postcode or ZIP, job types it may book, how much notice dispatch needs and when a person must approve the slot.
Capture of the details a dispatcher needs: address, access notes, equipment type and age if known, the symptom in the caller's words, a callback number, and a link for the customer to send photos.
Quote-request intake that records what the customer wants priced, creates the request in your system and tells the caller who will follow up and by what channel, using wording you approve.
Dispatch handoff: a live transfer or alert to the on-call technician with a short written summary, plus a fallback to a second contact if the first does not answer.
A written note on how far the link to your field-service software can go, based on the API access your plan and vendor allow, including a manual fallback.
Test calls covering the awkward cases, such as two problems in one call, a wrong address or an angry customer, then a transcript review after launch to correct what the agent got wrong.
What happens when someone calls at 11 pm with no heat or a burst pipe?
The agent works down a ladder you agree in advance. A realistic version has four rungs:
- Life safety. The caller mentions a gas smell, a carbon monoxide alarm, burning from an outlet or water near live electrics. The agent reads a fixed script: leave the building, do not use switches or flames, contact emergency services or the gas utility. It then alerts your on-call person. In the UK the National Gas Emergency Service number is 0800 111 999, as gas network guidance shows. Wording for your area should come from your utility or safety adviser.
- Urgent damage or loss of service. No heat in cold weather, no hot water, an active leak. The agent captures the details and contacts the on-call technician by live transfer or alert, following your rules on after-hours work.
- Routine repair or maintenance. It books the next suitable slot in your schedule or creates a request for dispatch to schedule.
- Quotes and sales. It records what the customer wants priced, the property type and the best contact time. A person follows up.
The agent never judges whether a gas smell is serious. Any mention goes to rung one. How the other rungs behave, and who is paged, depends on your business and is fixed with you before launch.
How does it book a job without double-booking your crew?
It reads availability from one place, whether that is your field-service software or a shared calendar, and only offers slots that place shows. Before booking it checks the customer's address against your service area, matches the problem to a job type you allow, and applies the notice rules that dispatch needs. If the system cannot give live availability, the agent takes a preferred window and creates a request, and a dispatcher confirms. That is slower, but it prevents the agent promising a time nobody holds.
Booking details travel through a workflow built in n8n or Make. When a call ends, the platform sends a webhook, and the workflow creates the customer, the job request and an alert. Our AI receptionist page covers the general build; the rules above are what make it fit a trade.
Money talk needs the same care. If you charge a call-out or diagnostic fee, the agent states it only in wording you supply and asks the customer to accept it before the slot is held. Fixed prices for common jobs can be loaded as plain text. Anything outside that list becomes a quote request, so the caller never hears an invented number.
Which field-service tools can it connect to?
Only systems that give outside software access. This is what we could confirm in November 2026, and your plan or tenant settings can still limit it.
| Software | What the vendor documents | What to check |
|---|---|---|
| Jobber | A developer center with a GraphQL API and OAuth 2.0, covering objects such as clients, requests, quotes and jobs | The scopes your app needs and the API version in use |
| ServiceTitan | A developer portal where an app key is issued and a tenant administrator provides client credentials | Which scopes cover bookings and jobs for your tenant |
| Housecall Pro | An API exists, but third-party sources disagree on which plan includes it | Ask Housecall Pro directly whether your plan includes API access |
| Other systems | If there is an API or webhook, a workflow can usually use it | We would verify your vendor before quoting the link |
If a system offers no API, the fallback is a request sent to a shared inbox or task list for dispatch to enter. Website Prism's founder has delivered 800+ projects over 8+ years, mostly on Fiverr, and Website Prism Ltd was incorporated in 2026. We have no documented trades case studies, so we start from your call log and flag what is untested.
How should missed calls and old quotes be followed up?
We are not quoting a missed-call statistic here. Widely repeated figures for home-service companies mostly trace back to vendor marketing, and we could not tie them to a primary source we trust. Measure your own instead: pull a month of call logs from your phone provider and count unanswered calls by hour, then see how many were from new numbers.
Once the agent answers every call, follow-up can be automatic where it is safe:
- A text or email after the call confirming what was recorded and who will respond.
- A reminder to the dispatcher when a quote request sits untouched for a time you choose.
- A nudge to a customer who has not answered a sent quote, by the channel they used to contact you.
Outbound calls by an AI voice are another matter. In the US the FCC ruled in February 2024 that AI-generated voices count as artificial under the TCPA, so consent rules apply. Texts and emails have their own consent rules. Ask your lawyer before any automated outreach.
What must it never do on a service call?
- Diagnose a fault or tell a customer to attempt a repair, especially on gas, electrical or pressurized systems.
- Quote a final price or promise a warranty outcome unless the wording is yours and fixed.
- Promise an arrival time the dispatcher has not set.
- Take card numbers by voice. It sends a payment link.
- Decline to escalate when a caller sounds frightened, mentions a vulnerable person, or says they cannot reach emergency services.
- Pretend to be a person. It says at the start that it is automated.
Recording, privacy and consent in brief
This is general information, not legal advice. Recording rules vary by country, and in the US by state: some require every party to consent. The agent says it is automated and whether the call is recorded, and you choose whether to keep audio or only transcripts. Customer addresses and phone numbers are personal data under laws such as UK GDPR, so keep access narrow and set a retention period. See our post on AI privacy and compliance. How pricing works
We quote every project individually, from the number of systems, integrations, call or message volume and how much is custom. Tell us what you need and we reply with a written quotation.
Frequently Asked Questions
Can an AI receptionist triage plumbing and HVAC emergencies?
It can sort calls using a ladder you approve, and read a fixed safety script for gas, carbon monoxide or electrical dangers. It alerts your on-call person for urgent jobs. It does not diagnose faults or judge severity itself, and any safety keyword goes to the highest level.
Does it integrate with ServiceTitan, Jobber or Housecall Pro?
Jobber and ServiceTitan both publish developer access, with OAuth and credentials issued per account. Housecall Pro offers an API, but sources disagree on which plan includes it, so check with the vendor. Whether we can read availability or write jobs depends on that access.
Will it work if I run my own small crew with a mobile phone?
Yes. The agent can answer a forwarded or dedicated business number and send you a text or email for each call. Without field-service software, bookings go to a shared calendar or a request list. You still decide which calls interrupt you.
Can it quote prices over the phone?
Only for fixed wording you have approved, such as a call-out rule you state. It records what the customer wants priced and passes the request to a person. It will not invent estimates, because a wrong number on a recorded call is hard to retract.
What does it cost for a trade business?
Nothing is priced off a list. We quote each trade business individually, based on how many calls you take, whether your field-service plan allows an integration, how many service areas or on-call rotas the agent must follow, and how detailed your triage rules are. Voice platform usage is charged separately.
What happens if the on-call technician does not answer?
The workflow tries the next contact you list and sends an alert with the written summary. If nobody answers, the agent tells the caller what to do next, such as contacting emergency services for a safety risk, and logs the call as unresolved so a person closes it first thing.
