AI Receptionist for Dental Practices: Calls, Booking, Recalls

A phone assistant for dental practices that books new patients, handles cancellations and routine questions, and passes emergencies and clinical questions straight to your team.

Can an AI receptionist answer the phone for a dental practice?

Yes, for the routine part of the day. An AI receptionist can pick up when the front desk is busy or closed, book a new-patient visit, move or cancel an appointment, answer questions about opening hours or accepted insurers from information you supply, and take a message. It cannot give clinical advice, diagnose anything or judge how urgent a toothache is, so those calls go to a person or to your emergency route. We build it as a voice agent on Retell AI or Vapi, shaped around your own call types, and connect it to your diary where the software allows. Whether that link is possible depends on which practice-management system you run and what access its vendor grants.

What is included
01

A call map built from a week or two of your real call log: new patients, existing patients, emergencies, insurers, labs and sales calls, each with a written rule for what the agent does and where it stops.

02

A new-patient script that collects only what you choose, such as name, phone number, reason for the visit and whether they already have a dentist, then offers slots that your own booking rules allow.

03

Cancellation and rescheduling rules using your notice-period wording, so the agent can release a slot and offer the next suitable one without making exceptions that only your staff may make.

04

An emergency route: situations your clinicians define, such as facial swelling or a knocked-out tooth, trigger an immediate transfer or alert to a named person, not a booking attempt.

05

A written note on how far the link to your practice software can go, based on the access your vendor grants: direct diary access, a booking link, or a message to the front desk for entry by hand.

06

Opening-line wording that says the caller is speaking to an automated assistant and, where your rules require it, that the call is recorded, plus a setting for whether audio is kept at all.

07

A data note for your practice manager or data-protection lead covering what is stored, where, for how long and who can read it, ready for your own adviser to review before launch.

08

Test calls with your staff playing awkward patients, then a review of real transcripts after go-live to correct wrong answers and add the cases nobody listed.

Which dental calls can it take, and which go to your team?

A practice phone carries a mix of jobs. Some are routine enough to script. Others need judgment, a clinician or a relationship. The split below is a starting point; your own call log decides the real one.

Call typeWhat the agent can doWhen a person takes over
New-patient enquiryCollects contact details, offers an available visit slot, tells them what to bringThe caller is in pain, anxious, or asks for a treatment price you have not approved wording for
Booking changesFinds a new slot, cancels, reads the details backThe change affects a staged treatment, such as a fitting date
Insurance and feesAnswers from a list you supply: plans accepted, payment methods, how to claimEligibility checks, benefit amounts, anything not on the list
EmergencyRecognizes the situations you define and transfers or alerts immediatelyAll of it. The agent does not triage
Calls after a reminder or recallBooks the check-up the patient was prompted to arrangeThe patient disputes the reminder or says they were told not to return
Labs, suppliers, salesTakes a message and routes it by senderA lab ringing about a live case
ComplaintsTakes the details and says who will respondAlways

During opening hours a handoff can be a live transfer to the front desk. Outside them it becomes a message with the caller's number and the reason for the call, placed where the first person in will see it. Our AI receptionist service page explains the build in general; this page covers what is specific to dentistry.

Does it work with Dentrix, Eaglesoft, Open Dental, Carestream or R4?

Sometimes. Whether an outside tool can read your diary or write to it is decided by the software vendor and your contract with them, not by us. This is what we could confirm from vendor and trade sources in November 2026; check each point with your own vendor in writing before planning around it.

  • Open Dental: publishes an API for developers with documented appointment resources. The page advises developers to have a business associate agreement in place with their clients.
  • Dentrix: Henry Schein One runs approval-based programs for outside vendors. It announced a Dentrix Ascend API Exchange in 2023, where vendors apply and must meet its security standards. Third-party sources describe a separate route for installed Dentrix. Terms are Henry Schein One's to set.
  • Eaglesoft: Patterson's Innovation Connection gives an API to developers who meet its criteria, announced for Eaglesoft 18 and later. Check which version you run.
  • Carestream (CS R4): Carestream has a partner program for independent software vendors that has listed products such as CS SoftDent, PracticeWorks, OrthoTrac and WinOMS. We found no public API documentation for CS R4 and no confirmation it is covered, so ask Carestream.
  • Dentally (UK): publishes API documentation, with integrations onboarded through its partner process.
  • SOE / EXACT (UK): a Henry Schein One brand. We found no public API program for it, so assume no direct diary link until the vendor says otherwise.

If there is no usable API

There are three fallbacks. The agent can book into a separate request calendar that the front desk copies across. It can send every request to a shared inbox or task list for entry by hand. Or it can send the caller a booking link your software already provides. Each adds a manual step and is slower than a live diary, and we would tell you that rather than imply real-time booking. Where an API does exist, a workflow in n8n can carry data between the call and your system.

A note on what we can show you: Website Prism's founder has delivered 800+ projects over 8+ years, mostly on Fiverr, and Website Prism Ltd was incorporated in 2026. We have no documented dental case studies, so we work from your call log and tell you what is untested.

What should a dental AI receptionist never do?

  • Give clinical advice. That includes whether a symptom can wait, what to take for pain, or whether a lost filling matters.
  • Decide urgency by itself. It acts only on the trigger situations your clinicians write down, and when it is unsure it transfers.
  • Quote treatment prices or promise results beyond wording you have approved.
  • Discuss a patient's details with a third party. A relative or employer ringing about someone needs a verification step you define, or a person.
  • Take card numbers by voice. It sends a payment link instead.
  • Pretend to be a person. The opening line says it is automated.

In an emergency the agent's job is narrow: get a human, or the instruction your clinical lead has approved, to the caller quickly. For a possible life-threatening situation that instruction is normally to contact emergency services (999 in the UK, 911 in the US). The wording is yours to approve, not ours to invent.

Why do recall and reminder calls need a separate decision?

Answering a patient's call is the simpler case. Ringing patients first, to chase an overdue check-up, brings extra rules. In the US, the FCC ruled in February 2024 that AI-generated voices count as an artificial voice under the Telephone Consumer Protection Act, so the consent and identification rules for artificial or prerecorded voice calls apply. Health-care calls have their own exceptions and conditions, so ask a lawyer before any outbound AI calling. In the UK, rules on contacting people differ for service messages and marketing, and your data-protection lead should confirm which a recall is.

Many practices start with inbound only: the agent handles the calls that arrive after a text or letter reminder, while the reminders themselves go out by the channel you already use. Outbound AI calls can be added later if your adviser is comfortable.

HIPAA, UK GDPR and call recording: what to check

This is general information, not legal advice. Please confirm with your own lawyer, compliance lead or data-protection officer.

  • US. A dental practice is usually a HIPAA covered entity. HHS guidance says a covered entity may use a cloud service for electronic patient information only under a business associate agreement with that provider. Retell AI says it offers a BAA, and Vapi's documentation describes a signed BAA and an organization-level HIPAA mode with its own eligibility conditions. A signed BAA does not make a setup compliant on its own. Ask whether it covers every provider in the chain, including speech and language models.
  • UK. Health data is special category data under UK GDPR. The ICO's guidance says you need both a lawful basis and a separate condition to process it. Ask your adviser whether a data protection impact assessment is needed, and how GDC and CQC expectations on patient information apply to a phone agent.
  • Recording. Some US states require consent from everyone on a call. Decide whether you need audio at all or only a transcript and summary, and limit who can read either.

Frequently Asked Questions

Can an AI receptionist book directly into Dentrix or Eaglesoft?

Only if the software vendor gives your account, or an approved integration, access to the diary. Dentrix and Eaglesoft both route outside access through vendor programs with their own approval. Where access is not available, the agent books into a request calendar or sends the front desk a message to enter by hand. We confirm which applies before building.

Can an AI receptionist handle dental emergencies?

It can recognize the emergency situations your clinicians define and transfer or alert a named person at once, but it must not triage or advise. A caller with possible life-threatening symptoms is told to contact emergency services using wording you approve. Everything else about an emergency stays with your team.

Is an AI receptionist HIPAA compliant?

Not automatically. HIPAA applies to the practice, and compliance depends on the whole setup: a business associate agreement with each vendor that handles patient information, access controls, retention and staff procedures. Retell AI and Vapi both describe BAA processes. Your own compliance lead or lawyer must confirm the arrangement before patients use it.

Do patients need to be told they are speaking to an AI?

We build the opening line to say so, because it is honest and is the safest default. Rules on disclosing automated calls and on recording vary by country and US state. Confirm the exact wording and any recording notice with your lawyer or data-protection lead before launch.

What drives the cost of a dental AI receptionist?

There is no price list. Each practice is quoted after a short call, and the quote moves with how many patient calls you receive, whether your practice software lets an outside tool connect, how many sites or phone lines are involved, and how detailed your call rules are. Usage charges from the voice platform come on top.

Can it phone patients who are overdue for a check-up?

It can technically, but outbound AI calls carry extra legal requirements. In the US the FCC treats AI-generated voices as artificial voices under the TCPA, so consent rules apply. Most practices start with inbound calls only and add outbound later, if their lawyer approves.
