Lead Routing and CRM Automation with HubSpot, GoHighLevel and n8n

New enquiries from forms, ads and WhatsApp are cleaned, scored and assigned to the right salesperson in HubSpot or GoHighLevel, with an AI-drafted first reply that a human approves.

Lead routing and CRM automation with n8n

Lead routing automation takes each new enquiry, removes duplicates, adds the details your team needs and assigns it to the right owner in your CRM within moments, without anyone copying data between tabs. With n8n this works for HubSpot, which has an n8n node and a trigger node, and for GoHighLevel, which has an n8n node and a documented webhook for new contacts. An AI model can draft the first reply, but a salesperson approves it before it goes out. This page covers where leads can enter, how they are scored and routed, how follow-ups stop at the right moment, and the consent rules to check first. Speed is helpful, but accuracy and good manners matter more.

What is included
01

Capture from your website forms, lead ads and WhatsApp messages into one clean intake step, with the untouched original lead written to a log before anything else happens.

02

Duplicate handling that searches the CRM first and updates an existing contact rather than creating a second record for the same person or company.

03

Enrichment limited to information you are entitled to use, such as the company website and fields the lead supplied, with gaps left blank rather than guessed.

04

A scoring and routing rule set written down with your team: territory, service line, language, deal size, workload, and a fallback owner so no lead sits unassigned.

05

Tasks and deals created in the CRM for the chosen owner, with the lead's own words attached and a due time for the first response.

06

An AI-drafted first reply based only on facts you approve, sent to the owner for editing and approval, with a reminder and escalation if nobody responds.

07

A follow-up cadence that checks the CRM before every step and stops on a reply, a booking, an opt-out or a do-not-disturb flag.

08

Written routing rules and a handover guide, so your team can change owners, territories or message wording without rebuilding anything.

How do leads get into the CRM from forms, ads and WhatsApp?

Each source gets its own entry point, but they all feed one shared sequence so the rules are written once.

Website and landing-page forms

The form tool sends the submission to an n8n webhook. If the form lives in HubSpot, n8n's HubSpot node can read form fields and submit data to a form, and its HubSpot Trigger node can start a run when a contact is created or a property changes.

Lead ads

n8n has a Facebook Lead Ads Trigger node whose listed event is a new lead. One quirk from its documentation: Facebook allows one registered webhook per app, so test and production URLs overwrite each other, and testing needs a short pause of the live workflow.

WhatsApp enquiries

The WhatsApp Trigger node can start a run on incoming messages. The first message opens a 24-hour window in which free-text replies are allowed; outside it, Meta requires an approved template message. Our WhatsApp automation service covers that side in more depth.

Leads created inside the CRM

GoHighLevel documents a ContactCreate webhook, called whenever a contact is created, whose payload includes the contact's name, email, phone, source, tags, a do-not-disturb flag and the assigned user. That makes it a clean starting point for a routing run.

How are leads cleaned, scored and assigned to the right owner?

  1. Log first. The raw submission is stored untouched, so a bug later never loses a lead.
  2. Normalise. Emails are lower-cased, phone numbers put into one international format, and obvious test entries filtered.
  3. Check for an existing record. HubSpot documents email as the primary unique identifier for contacts, so the workflow searches by email before creating anything. n8n's GoHighLevel node has a create-or-update contact operation, which suits the same purpose.
  4. Enrich. Add only what is legitimately available, such as company website details. Leave unknowns empty.
  5. Score. A rule set, agreed with your sales lead, turns signals into a rating: does the enquiry name a budget or timeline, is the company in your target size, did the person ask for a call, is it a free email address. We prefer plain rules you can read over a score nobody can explain.
  6. Route. Rules pick an owner by territory, service, language or workload. GoHighLevel's node can also fetch free calendar slots, so the owner's availability can inform the choice. If no rule matches, the lead goes to a named fallback owner and a manager is told.
  7. Create the work. The CRM gets the owner assignment plus a task or deal. HubSpot's node supports deals and engagements; GoHighLevel's node supports opportunities and tasks.

Can AI write the first reply, and what happens if no one answers?

AI drafts; a person decides. The model receives the lead's message and a short, approved fact sheet about what you offer, and is told to quote nothing outside it. It must not invent prices, delivery dates or promises, and the draft is marked as unreviewed.

The owner receives the draft with the lead's details and can send, edit or discard it. If nothing happens within the time your team sets, the owner gets a reminder, and after a second gap the lead moves to the next person on the rota. An escalation rule like this is worth agreeing before launch, because a fast routing system only helps if someone actually answers.

Illustrative example. Suppose a web form says a business wants help with a booking system, in Germany, with a stated deadline. The rules might send it to the person who covers German-speaking leads and booking projects, create a task due within your chosen response time, and attach the lead's own wording. A form entry with only a free email address and no message might instead go to a lower-priority queue. Your own rules will differ; this only shows the shape.

Follow-up cadence. After the first reply, later steps run on a timer. Before each one the workflow reads the CRM again and stops if the lead has replied, booked a meeting, been marked lost, asked to stop, or carries a do-not-disturb flag. It also respects business hours and a hard cap on the number of messages, so nobody is nagged indefinitely.

What are the consent, opt-out and error rules?

Consent. Rules differ by country and channel, and they cover email, SMS, calls and WhatsApp differently. As general information only, not legal advice: record where and when each person agreed to be contacted and for what, tell them who you are, and give an easy way out. WhatsApp's business policy says you may message someone only if they have given you their number and agreed to receive messages, and that you must honour any request to stop. Confirm what applies to you with your own adviser.

Opt-outs. A stop request on any channel updates the CRM record and halts every automated step. Nothing is reintroduced later by an import.

Errors. If a CRM call fails, the lead stays in the log marked unprocessed, and n8n's error workflow alerts a person. A weekly check compares the log with the CRM so any gap is visible.

What changes the scope of a CRM automation project?

Every project is quoted individually. The drivers are the number of lead sources, how many CRM objects and custom fields are involved, the complexity of the routing rules, how many people and territories are in the rota, whether WhatsApp is included, and any custom integrations. Software costs such as the CRM seat, n8n hosting and AI usage are paid to those vendors and vary.

The founder of Website Prism has 8+ years of experience and 800+ delivered projects, mostly on Fiverr, and Website Prism Ltd was incorporated in 2026. That describes general build experience; it is not a record of CRM routing results. If you want a starting point, read the n8n workflow service or talk to us. To see how a fixed workflow differs from an agent, read AI agent, chatbot or automation.

Frequently Asked Questions

Does n8n work with HubSpot?

Yes. n8n has a HubSpot node covering contacts, companies, deals, tickets, forms and engagements, and a HubSpot Trigger node that can start a workflow on events such as a contact or deal being created or a property changing. Setup details, including authentication, are in n8n's HubSpot credentials documentation.

Does n8n work with GoHighLevel?

Yes. n8n has a HighLevel node covering contacts, opportunities, tasks and calendar actions. Its credentials page recommends OAuth2 for API v2, because HighLevel has deprecated v1. For incoming events you can use HighLevel's documented webhooks, such as ContactCreate, pointed at an n8n webhook.

How does lead routing avoid creating duplicate contacts?

It searches before it creates. HubSpot treats email as the primary unique identifier for contacts, so the workflow looks up the email first and updates the existing record if found. Records without an email, or with several matches, go to a person to merge instead of being guessed.

Can AI reply to leads without a person checking?

It can, but we would not recommend it for first contact. A drafted reply that a salesperson approves keeps tone and facts under control, and avoids invented prices or promises. Once your team trusts the drafts, some low-risk replies could be automated by choice.

Do I need consent before follow-up messages?

Often yes, and the rules vary by country and channel. Record when and where each person agreed, include a clear way to stop, and halt automated steps on any opt-out. WhatsApp's business policy requires agreement before messaging. This is general information, so confirm your position with your own adviser.

What happens if nobody picks up a lead?

The workflow escalates. The assigned owner is reminded after a set time, then the lead moves to the next person on the rota, and a manager is told if there is still no response. Your team chooses the waiting times, and every step is recorded against the lead.
