AI Voice Agent for Real Estate Agents and Property Managers
A voice agent that answers property enquiries, books viewings, takes after-hours calls and sorts repair requests, then writes each call to your CRM for an agent to follow up.
What can an AI voice agent do for a real estate agent?
It answers the phone when you are at a viewing, in a meeting or asleep, and turns each call into a structured lead. For sales and lettings that means capturing who rang, which property or area they asked about, their timeline and whether they want a viewing, then booking it or flagging the lead for you. For property managers it takes repair reports, asks the questions a contractor will need, and separates a leaking roof from a loose handle. It does not negotiate, value a property or answer questions where a wrong answer could breach housing law. Those go to a person. We build it on Retell AI or Vapi and connect it to your CRM.
A call flow for each phone job you handle, usually sales enquiries, rental enquiries, viewing changes and repair reports, with the exact details to collect on each and the point where a person must take over.
Viewing booking against your real calendar, with rules for who attends, how much notice you need and what happens when a viewing is requested for a property that is let or under offer.
Lead capture into your CRM: a contact record, the property of interest, the caller's stated timeline, a short summary and the transcript, tagged by source so nothing sits unread in a voicemail box.
Out-of-hours handling that records the call, answers listed questions from your property data and promises only a follow-up window you have approved, rather than a time the agent invents.
A property-management repair flow that asks for the address, the problem, access arrangements and whether anyone is at risk, then creates a maintenance ticket and alerts the on-call person for urgent cases.
Equal-treatment guardrails: the same script and facts for every caller, a list of questions the agent must decline to answer, and an automatic handoff when a caller raises a protected characteristic.
Opening-line wording that identifies the agent as automated and states whether the call is recorded, with recording and retention settings you choose and document.
Testing with scripted calls, then a transcript review after launch to fix wrong answers, tidy the property information the agent relies on, and add edge cases.
How does one call run, from first ring to CRM record?
- The call reaches your agency line, or your mobile when it is unanswered, and the agent states that it is automated.
- It asks what the caller needs and sorts the call into sales, rental, existing tenant or owner, or something else.
- For an enquiry it captures name, number, property or area and timeline, and answers listed facts such as bedrooms, rent and availability. These come from information you supply, never guesses.
- If the caller wants a viewing, it reads your calendar and offers a few slots. If they want anything it cannot answer, such as the vendor's flexibility on price, it takes a message for the agent.
- When the call ends, the platform sends a webhook. A workflow creates or updates the CRM contact, attaches the summary and recording link, and notifies the right person.
Both voice platforms document transferring a call to a person, which matters when a lead is hot. Retell AI describes cold and warm transfers, and Vapi documents call forwarding. Our AI voice agents page explains the platform side.
Sales, lettings and repairs: three different phone jobs
The three need different scripts. Treating them as one flow is the usual reason a voice agent feels clumsy.
| Phone job | Details worth capturing | Agent can | Goes to a person |
|---|---|---|---|
| Sales enquiry | Property, budget range only if the caller offers it, timeline, whether they have a property to sell | Share listed facts, book a viewing, log the lead | Offers, valuations, price flexibility, vendor questions |
| Rental enquiry | Property, move-in date, number of occupants if the caller volunteers it, viewing availability | Share listed facts and the application steps you provide, book a viewing | Eligibility decisions, requests for adjustments, anything about who may apply |
| Repair report | Address, tenant name, problem, urgency, access, photos link | Create a ticket, give the on-call number for urgent cases | Safety risks, disputes, requests to enter the property |
For repairs, the urgent list is yours to define, usually with your contractor. Typical entries are no heating in cold weather, active leaks and loss of security. The agent matches the caller's description to that list and escalates when in doubt. It does not diagnose, and it does not tell a tenant to attempt repairs.
Which CRMs and property systems can the call data reach?
The link is only as good as the other system's API. This is what we could confirm from official or vendor documentation in November 2026; always check your own plan and permissions.
- HubSpot: its CRM API creates contacts, and its calls object can store a call's description and a secure recording URL. The page does not list a transcript property, so transcripts would travel as a note or a link.
- Follow Up Boss: its documentation recommends the events endpoint for sending leads from an outside source, and its webhooks cover call events.
- Buildium: has an Open API with a work-orders interface, set up by an administrator on your account. Check whether your plan permits creating a work order, as opposed to reading them.
- AppFolio: API access runs through a partner application with security review. A call-to-ticket link depends on that approval, so ask AppFolio before assuming one.
- Anything else: if it has an API or webhook, a workflow in n8n or Make can usually connect it. We have not verified other vendors by name, so we would check yours first.
Website Prism's founder has delivered 800+ projects over 8+ years, mostly on Fiverr, and Website Prism Ltd was incorporated in 2026. We have no documented real estate case studies, so treat the first weeks as a supervised pilot on your real calls.
Fair housing: what must the agent never say?
In the US, the Fair Housing Act prohibits discrimination in housing based on race or color, religion, sex, national origin, familial status and disability, as described by the Department of Justice. Some states and cities add more protected classes. In the UK, the Equality Act 2010 is the equivalent starting point. This is general information, not legal advice; your lawyer or trade body can tell you how it applies to you.
For a phone agent the practical rules are simple to state and easy to get wrong:
- Give every caller the same facts from the same script. No tailoring of what is shown or said by how someone sounds or what they mention.
- Do not describe who lives in an area or whether a neighborhood is a good fit for a type of person. Decline and offer a person.
- Do not ask about family status, religion, origin or disability. If the caller raises them, record only what they say and hand over.
- Treat accessibility questions as factual: state what your listing says, and pass anything about adjustments to a person.
- Do not let the agent decide who qualifies. Screening rules belong with your team and your lawyer.
Recording consent and who owns the call data
Some US states require the consent of everyone on a call before it is recorded, and the stricter rule can apply when callers and agents are in different states. Other countries ask for clear notice. The agent therefore says it is automated and whether it records, and you decide whether to keep audio at all or only a transcript and summary. Limit who can read them, set a retention period you can defend, and keep payment details off the phone.
Outbound is a separate matter. In the US the FCC ruled in February 2024 that AI-generated voices count as artificial under the TCPA, so calling leads back with an agent can need prior consent. We start with inbound and requested callbacks. Our post on voice agents versus chatbots explains when a phone agent is worth it, and the privacy and compliance post covers data handling. Confirm all of this with a lawyer before launch, then contact us with your call volumes.
What the agent must not do
- Value a property, predict a sale price or advise on market timing.
- Negotiate, accept an offer or say what a vendor or landlord will take.
- Promise a viewing slot, rent or availability that is not in your system.
- Decide whether an applicant is suitable, or screen callers by any personal characteristic.
- Give legal advice on tenancy disputes, deposits or evictions.
- Tell a tenant how to fix a gas, electrical or structural fault.

Frequently Asked Questions
Can an AI voice agent book property viewings?
Yes, if it can read and write to the calendar that holds your viewing slots, such as Google Calendar or Microsoft 365. It offers a few times, confirms by reading the details back, and notifies the agent. Rules for notice period, attendees and properties under offer are set with you beforehand.
Does it work with Follow Up Boss or HubSpot?
Both document APIs that can receive leads and call records. Follow Up Boss recommends its events endpoint for outside lead sources, and HubSpot lets you create contacts and log calls with a recording link. Your plan, permissions and field setup decide the exact flow, which we confirm before building.
Can it handle maintenance calls for a property manager?
Yes for intake: it collects the address, problem, access arrangements and urgency, then creates a ticket and alerts the on-call person for urgent cases. It does not diagnose faults or promise attendance times. Whether the ticket lands in your property software depends on that system's API.
Is an AI voice agent allowed under fair housing law?
Fair housing law applies to how you treat enquirers, whatever tool answers the phone. A well-scoped agent gives every caller the same facts and hands anything touching protected characteristics to a person. Ask your lawyer to review the script before launch. This is not legal advice.
What does an AI voice agent for real estate cost?
There is no standard package. We quote each agency after a call, and the quote reflects call volume, how many offices or numbers are involved, which CRM or property system must be wired in, and how many separate scripts you need for sales, lettings and repairs. Platform usage charges are extra.
Can it call back leads who filled in a web form?
Technically yes, but outbound AI calls carry extra rules. In the US, the FCC treats AI-generated voices as artificial under the TCPA, so prior consent matters. We usually start with inbound calls and requested callbacks, and add outbound only once your lawyer has approved the approach.
